FLF Party transport
Christmas party and staff evening transport
Pick-up at the workplace, drop-off at the door and staggered return rides at the end of the night. December evenings are best agreed as soon as the date and venue are set.
Transport is the easiest part of a company's evening out to organise, as long as it is done early. This page covers how pick-up at the workplace and drop-off at each home address work in practice, how many passengers fit in one vehicle and what to tell us when booking. We run Christmas party and staff evening transport in Lahti, Hollola and elsewhere in Päijät-Häme, as well as for evenings held in Helsinki. If the December date is already fixed, agree the transport at the same time.
A typical evening has two parts: pick-up from the workplace or an agreed meeting point to the venue early in the evening, and return rides to each home address at the end of the night. The return can be staggered, because not everyone leaves at the same time. Addresses may be on opposite sides of town, and the driver can also wait on site for an agreed period. Evening transport is agreed in advance directly with us by phone or email, not through a booking app.
The price comes from the distance, the time of night, the number of vehicles, the passenger count and any waiting. A staggered return and several pick-up points matter too. Friday and Saturday evenings in November and December are the busiest of the year across the whole trade, which is worth building into the schedule. We do not publish prices, because one evening's total depends on the route and the number of vehicles. Business prices are quoted excluding VAT, and passenger transport carries 14 % VAT. A quote usually arrives the same working day.

Pick-up at work and drop-off at the door
The evening is planned as two halves. The outbound leg is easy; the return decides how the night ends.
- Pick-up from an agreed spot: the workplace door, the office yard or a meeting point in the centre, so nobody is hunting for a car in the dark.
- Several pick-up points for the same vehicle when the group comes from different directions. The order of the round is planned so everyone arrives together.
- Return rides to each home address, not just to a taxi rank in the centre. Addresses are collected in advance so the round runs in a sensible order.
- The driver can wait for an agreed period if the evening includes a move, for example from the restaurant to a later venue.
- A second round later in the evening for those who stay on. Two or three return times is normal.
- A guest who uses a wheelchair travels in the same accessible minivan taxi as everyone else, when you mention it at booking.
Why booking early matters
Fridays and Saturdays in November and December are the busiest evenings of the year across the whole taxi trade. The same venues, the same start times and the same return times overlap in every company's calendar, and vehicles are reserved for those evenings weeks ahead. This is a general feature of the trade rather than one company's quirk: when dozens of Christmas parties end at the same moment, there is no queue of free cars waiting.
In practice that means agreeing the transport as soon as the date and venue are decided, before the headcount is final. An estimate is enough for a quote request, and the number can be confirmed later. If several vehicles are involved, fix the schedule first and fine-tune the pick-up points afterwards. The most flexible element is the return time, because the end of an evening almost always runs later than planned.
If you are only getting to this in December, say straight away what is fixed about the evening and what is not. Weekday evenings, earlier departures and staggered returns are clearly easier to arrange than a December Saturday at 11 pm. Tell us too whether one vehicle doing two rounds would work instead of two vehicles, because that opens options when the fleet is tight.
Group sizes and multiple vehicles
The number of vehicles follows from the headcount. The maths is simple, but a couple of practical points are worth noting.
- One minivan taxi carries 1+8 passengers. The fleet is the Mercedes-Benz Sprinter, Volkswagen Crafter and VW Caddy Maxi.
- We do not run coaches for more than eight passengers. A larger group travels in several minivan taxis that leave at the same time and arrive together.
- A practical rule of thumb: divide the headcount by eight and round up, and you have the number of vehicles.
- Coats, gifts and bags take space, so packing a full eight is not always wise if the journey is long.
- A saloon car or a Volkswagen Crafter with VIP trim suits a small group or a management evening.
- The return does not need as many vehicles as the outbound leg if returns are staggered. One vehicle can run two rounds during the evening.
Venues in Lahti and Hollola, and evenings in Helsinki
Lahti's party venues sit a short drive from one another, which makes a staggered return easy. Sibelius Hall on the shore of Vesijärvi is the most common venue for larger events, the city centre restaurants are a short walk from the travel centre, and Isku Areena also hosts corporate functions. Pick-ups in the centre are quick, but a lot of people are moving around the same area when the evening ends, so agree a pick-up spot that is easy to identify.
On the Hollola side, Messilä on the shore of Vesijärvi is a regular destination: a hotel and ski resort about 15 minutes' drive from central Lahti. An evening at Messilä almost always means transport, because nobody walks there and nobody wants to leave a car overnight. Restaurants and function rooms towards Salpakangas belong to the same round, and the distance to central Lahti is about 10 km.
Some companies hold the evening in Helsinki. From Lahti to central Helsinki is about 105 km and roughly 1 hour 15 minutes along the Lahti motorway. An evening across two cities is best agreed as one package: the outbound leg, any waiting and the return with the same vehicle, so nobody is looking for a ride in an unfamiliar city at the end of the night. Give us the arrival time you want and we will set the departure according to peak traffic.
Safety at the end of the night
The main benefit of arranged transport is what does not happen after the evening.
- With transport agreed, nobody drives themselves and nobody has to leave a car at the workplace overnight.
- The driver takes people to their door, not to the nearest junction. In December the dark, snow and ice make a difference, particularly outside built-up areas.
- Our drivers are our own employees and we train them ourselves, so an evening run is handled the same way as any other contract work.
- An agreed return time and a named contact person at the event mean no individual passenger is left sorting out a ride alone.
- If someone leaves earlier than the rest, a separate ride can be arranged for them on the same invoice.
- Wheelchair-accessible minivan taxis and driver assistance into and out of the vehicle are available for evening events too.
Billing to the company invoice
Evening transport is handled like any other business ride, so no receipts are generated.
- The whole evening is billed to the company invoice, so nobody pays in the car or collects receipts.
- Rides are coded to the agreed cost centre, for example a staff costs or department code.
- If the company already has an invoicing agreement, the evening's rides join the same monthly statement as other journeys.
- If there is no agreement, one can be set up for a single event or on a continuing basis. The invoicing address and reference are agreed beforehand.
- The invoice is itemised ride by ride, so outbound and return rounds appear as their own lines.
What to tell us when booking
- 01
Date and time
The date of the evening and the time the group needs to be at the venue. The departure time is calculated from that.
- 02
Pick-up points
One pick-up address or several, and where passengers will find the vehicle. A clear pick-up spot saves time in the dark.
- 03
Headcount
An estimate is enough for a quote. Tell us too whether the group travels together or whether vehicles are split by department.
- 04
Return time and addresses
The estimated finishing time, any staggered return times and home addresses by direction, so the rounds can be planned.
- 05
Contact person at the event
One name and phone number the driver can reach. Give the invoicing details and cost centre at the same time.
Pricing
The evening's price comes from the distance, the time of night, the number of vehicles, the passenger count and any waiting. A staggered return and several pick-up points matter too. Prices are quoted excluding VAT; passenger transport carries 14 % VAT.
Priced per leg
Outbound and return priced separately, when the vehicle is not needed during the evening. The most common model when returns are staggered.
Vehicle at your disposal
An hourly rate when the driver waits on site and handles moves during the evening, for example from the restaurant to a later venue.
Whole-evening package
One agreed price covering outbound legs, waiting and return rounds, when the schedule and addresses are known in advance.
Book Christmas party transport
Tell us the date, the venue and an estimated headcount and we will propose the number of vehicles and a schedule. A quote usually arrives the same working day.
Frequently asked questions
What does Christmas party transport cost?
The price comes from the distance, the time of night, the number of vehicles, the passenger count and any waiting. A staggered return and several pick-up points raise the total, because the vehicle is in use for longer. Evening hours are priced differently from a weekday. We do not publish prices, because one evening's total depends on the route. Give us the date, venue and estimated headcount and you will usually have a quote the same working day.
How far in advance should party transport be booked?
As soon as the date and venue are known. Fridays and Saturdays in November and December are the busiest evenings of the year across the whole trade, and vehicles are reserved for them weeks ahead. The final headcount is not needed; an estimate is enough for a quote request and the number can be confirmed later. If you are only booking in December, tell us what is flexible and we will find the options faster.
Can the vehicles wait through the evening?
They can. Waiting is agreed separately and priced hourly, because the vehicle and driver are then reserved for you alone. Waiting is worth it if the evening includes a move, for example from the restaurant to a later venue, or if you want the return to start the moment the evening ends. With no moves involved, pricing the outbound leg and the return rounds separately is cheaper.
Can return rides be at different times for different people?
Yes, and it is common. We stagger two or three return times depending on when people leave. One vehicle is often enough for the early leavers, with a second round later for those who stay to the end. Give us the estimated return times and home addresses by direction and the rounds will be planned so nobody sits in the car longer than necessary.
Can we have the invoice sent to the company?
Yes. The evening's rides are billed to the company invoice under the agreed cost centre, and nothing is paid in the car. If an invoicing agreement already exists, the transport joins the same monthly statement as other rides. If there is none, one can be set up for a single event. The invoicing address, reference and cost centre are agreed before the evening, so the invoice is correct from the start.
How many people fit in one vehicle?
One minivan taxi carries 1+8 passengers. A larger group travels in several minivan taxis leaving at the same time, because we do not run coaches for more than eight. Divide the headcount by eight and round up to get the number of vehicles. Coats and gifts take space, so packing a full eight is not always wise. A saloon car also works for a small group.
